This is where a small amount of discretionary funds, in the form of cash, is used for expenditures where it is not sensible to make any disbursement by cheque, because of the inconvenience and costs of writing, signing, and then cashing the cheque.

Baraza Business Management System allows the user to request for petty cash but before, the user has to define the types and categories of items that they want to purchase.


   1. Petty Cash : Under 'Transactions' select the option 'Petty Cash'. The system allows the user to define the types of items under 'Types'. Select the option 'Types', click on 'New', fill in all the fields then click on 'Save'


The system allows the user to define the category under which the items fall. Select the option 'Items', click on 'New', fill in all the fields then click on 'Save'


The user is then able to add all the details about the items to be purchased under 'Items List'. Click on 'New', fill in all the fields then click on 'Save'.

The system allows the user to indicate the Period start of the *Request*. Select the option 'Periods', fill in all the fields then click on 'Save'.


Once all the steps above are completed, the user is able to make a 'Petty Cash Request'. Select the option 'Requests', fill in all the fields. Make sure to tick in the 'Request' box symbol then click on 'Save'



   2. Petty Cash Request   : To make a request select the option 'Petty Cash Request' under 'Transactions'. Double-click on the 'Allocation' record, click on 'New' to make a request then click on 'Save'.
